Responsibilities

  • Providing administrative support to the project management team, including inbox and calendar management and coordinating site team meeting schedules.
  • Creating and maintaining project trackers, folder structures, and associated documentation throughout the project lifecycle.
  • Managing purchase orders from raising to receipting, procuring materials for site crews, and recording costs across relevant trackers.
  • Liaising with subcontractors and third-party contractors to coordinate minor repairs and works as required.
  • Arranging site inspections and audits, including leak audits, playground safety inspections, landscaping inspections, road safety audits, and post-construction tree surveys.
  • Producing weekly and monthly reports on site performance and reporting compliance, and conducting regular reviews of outstanding project actions with the engineering team.
  • Communicating with homeowners and external stakeholders regarding upcoming works, including drafting correspondence and coordinating letter drops.
  • Supporting the project management team in the implementation of new processes and procedures, and assisting with handover and completion activities as required.
  • Other adhoc duties as may be required by the team.
  • Previous experience in a similar role  
  • Previous experience as a Site Clerk/Site Administrator or similar role desirable but not essential 
  • Qualification in a construction related discipline desirable but not essential 
  • Understanding of construction industry 
  • Excellent communication, organizational and interpersonal skills 
  • Strong computer skills including MS Office specifically MS Excel & MS Visio 
  • Ability to work on your own initiative and to tight deadlines 
  • Flexibility in a team environment and a willingness to take on extra work as required is essential
