About this role
The Assistant Manager - Operations is responsible for the end-to-end management of Inpatient Services and operational excellence initiatives across the hospital. The role ensures seamless patient flow, efficient utilization of resources, service quality, patient satisfaction, staff management, and operational compliance.
The incumbent will lead Service Line Managers and operational teams while driving key business and digital transformation initiatives, including Computerized Physician Order Entry (CPOE) adoption, process automation, patient safety improvements, and service excellence programs. The position serves as a critical link between clinical departments, nursing services, support services, and hospital management to ensure smooth operational functioning and achievement of organizational objectives.
Key Responsibilities
Inpatient Services Management
- Oversee day-to-day operational functioning of all inpatient units.
- Ensure smooth admission, transfer, discharge, and patient movement processes.
- Monitor bed occupancy and optimize bed utilization across the hospital.
- Coordinate with clinical departments to ensure timely patient care delivery.
- Review discharge turnaround times and implement improvement initiatives.
- Minimize patient waiting time and service delays.
- Ensure seamless patient experience throughout the hospitalization journey.
- Address operational escalations from patients, attendants, and clinical teams
End-to-End Staff Management
- Lead, mentor, and supervise Service Line Managers and operational staff.
- Plan manpower deployment and resource allocation.
- Conduct performance reviews and monitor departmental productivity.
- Develop shift rosters and ensure appropriate staffing coverage.
- Identify staff training and development requirements.
- Foster employee engagement and accountability.
- Monitor attendance, discipline, and operational performance.
- Ensure effective communication between operational teams and management.
Service Line Management
- Act as the operational in-charge for all assigned Service Line Managers.
- Monitor departmental KPIs and performance indicators.
- Drive growth initiatives across key specialty services.
- Coordinate with Consultants and Clinical Heads to improve operational performance.
- Ensure service line operational targets are achieved.
- Track patient volumes, admissions, occupancy, and revenue indicators.
- Facilitate implementation of strategic service line initiatives.
Computerized Physician Order Entry (CPOE) Management
- Lead and monitor CPOE implementation and utilization across inpatient units.
- Drive increased adoption of digital physician order entry systems.
- Coordinate with Medical, Nursing, Pharmacy, Laboratory, Radiology, and IT teams to ensure seamless workflow integration.
- Monitor order utilization trends and compliance across departments.
- Conduct regular audits and identify opportunities for process enhancement.
- Ensure timely closure of CPOE-related operational issues.
- Develop action plans to improve digital order capture and user compliance.
- Support training and change management initiatives for physicians and staff.
- Generate dashboards and reports on CPOE utilization, compliance, and outcomes.

- Promote patient-centric care practices across departments.
Quality, Compliance & Accreditation
- Ensure compliance with NABH standards and hospital policies.
- Participate in accreditation activities and operational audits.
- Monitor implementation of patient safety initiatives.
- Support departmental quality improvement programs.
- Ensure compliance with statutory and regulatory requirements.
- Track and improve operational quality indicators.
Reporting & MIS Management
- Prepare operational dashboards and management reports.
- Monitor inpatient census, occupancy, discharges, and service line performance.
- Present operational and business performance reviews to management.
- Generate CPOE performance reports and compliance dashboards.
- Analyze trends and recommend improvement actions.
Additional Responsibilities
- Lead strategic operational projects assigned by management.
- Support business growth and service expansion initiatives.
- Participate in hospital emergency preparedness and disaster management activities.
- Represent the Operations Department in internal and external reviews.
- Perform any other responsibilities assigned by the Chief Operating Officer, Director Operations, Medical Superintendent, or Management from time to time.
