The OT Manager is responsible for the overall administration, planning, coordination, and management of Operation Theatre services to ensure safe, efficient, and high-quality surgical care. The role oversees OT operations, manpower management, resource utilization, infection control practices, regulatory compliance, and patient safety initiatives while ensuring optimum utilization of OT facilities and equipment.
Key Responsibilities
Operational Management
- Oversee the day-to-day functioning of all Operation Theatres.
- Ensure smooth scheduling and coordination of elective and emergency surgeries.
- Monitor OT utilization, turnaround time, and efficiency metrics.
- Coordinate with Surgeons, Anaesthesiologists, Nursing Services, CSSD, and other departments for seamless OT functioning.
- Ensure adequate availability of manpower, consumables, implants, instruments, and equipment.
- Implement OT policies, SOPs, and best practices.
Clinical Governance & Patient Safety
- Ensure compliance with NABH/JCI standards, patient safety goals, and infection control protocols.
- Monitor adherence to WHO Surgical Safety Checklist.
- Ensure proper implementation of aseptic and sterile techniques.
- Investigate surgical incidents, sentinel events, and near misses.
- Promote a culture of safety and quality within the OT complex.
Manpower Management
- Plan and manage OT staffing requirements.
- Prepare duty rosters and optimize manpower deployment.
- Supervise OT Nursing Officers, Technicians, and support staff.
- Conduct performance reviews and competency assessments.
- Identify training needs and facilitate staff development programs.
Resource & Inventory Management
- Monitor inventory of surgical consumables, implants, and OT supplies.
- Ensure availability and maintenance of surgical instruments and equipment.
- Coordinate with Biomedical Engineering for preventive maintenance and breakdown management.
- Control wastage and optimize resource utilization.
- Participate in budgeting and procurement processes.
Quality & Accreditation
- Lead OT-related NABH/JCI accreditation activities.
- Monitor quality indicators such as:
- OT Utilization Rate
- Surgical Case Cancellation Rate
- OT Turnaround Time
- Surgical Site Infection (SSI) Rate
- Equipment Downtime
- Conduct audits and implement corrective and preventive actions.
- Ensure compliance with statutory and regulatory requirements.
Documentation & Reporting
- Maintain OT utilization reports, dashboards, and management MIS.
- Prepare monthly operational and quality reports.
- Ensure accurate maintenance of OT records and documentation.
- Track key performance indicators and present findings to management.
Training & Development
- Conduct orientation and training programs for OT staff.
- Organize workshops on infection control, patient safety, and OT best practices.
- Support continuous professional development initiatives.
Coordination & Communication
- Act as the central point of coordination between Surgical Departments, Anaesthesia, Nursing, CSSD, Biomedical Engineering, Housekeeping, and Operations.
- Participate in departmental and hospital management meetings.
- Ensure effective communication regarding OT schedules, emergency cases, and operational requirements.
