About this role

OVERVIEW:

The Sales & Admissions Advisor is a front-line, target-driven individual contributor role responsible for converting inbound parent inquiries into confirmed enrollments across assigned Fueling Brains Academies. The role owns the full lead-to-enrollment journey โ€” first response, structured follow-up, family engagement, and registration completion โ€” working in close partnership with Centre Directors, Marketing, and Billing. This role is directly accountable for conversion outcomes and enrollment targets, with on-campus family engagement as a core part of the job.



ESSENTIAL DUTIES & RESPONSIBILITIES:

Lead & Pipeline Ownership

  • Own and drive inbound parent leads from first contact through to enrollment confirmation
  • Maintain accurate, up-to-date lead records in the CRM at every pipeline stage
  • Ensure timely, structured follow-up on all inquiries in line with defined response-time targets
  • Proactively re-engage inactive or aging leads to recover at-risk opportunities
  • Identify barriers to conversion and escalate systemic issues to leadership



Enrollment & Registration Conversion

  • Guide parents through program selection, registration steps, and required documentation
  • Coordinate with Centre Directors on program placement, seat availability, and confirmed start dates
  • Ensure registration records are complete, accurate, and compliant before handoff to centre operations
  • Track and report on conversion rate, time-to-enroll, and drop-off points across the funnel



Family Engagement & On-Campus Support

  • Conduct or support in-person centre tours, open houses, and onboarding sessions
  • Provide in-person and virtual consultations to address parent questions and concerns
  • Represent the Fueling Brains brand consistently across all family touchpoints
  • On-campus support is scheduled in advance and directed by management based on business needs.



Waitlist & Capacity Awareness

  • Maintain visibility of waitlists and available capacity by centre and program
  • Match parent demand to available capacity to maximize conversion and space utilization
  • Flag capacity constraints or growth opportunities to leadership



Marketing Collaboration

  • Provide feedback to Marketing on lead quality and campaign effectiveness
  • Align messaging and offers with active promotions, timelines, and eligibility criteria



Reporting

  • Maintain regular reporting on pipeline activity, conversion rates, and follow-up timelines
  • Share insights and recommendations with leadership to improve conversion outcomes



REQUIRED SKILLS & QUALIFICATIONS:

Education

  • Post-secondary education in Business, Sales, Marketing, Communications, or a related field
  • Equivalent combination of education and relevant experience may be considered



Experience

  • 3+ years of experience in sales, admissions, enrollment, or a customer-facing target-driven role
  • Demonstrated track record of meeting or exceeding conversion/enrollment targets
  • Experience using CRM systems to manage a sales or enrollment pipeline
  • Experience in childcare, education, or service-based environments is an asset

WORK ENVIRONMENT REQUIREMENTS:

  • Hybrid work model with regular in-office and on-campus presence required
  • Ability to travel and support across multiple assigned centres in Alberta, BC, and Saskatchewan
  • Standard working hours aligned with business needs, with flexibility during peak enrollment periods
  • Ability to manage periods of high volume and time-sensitive work
