Role Overview

The Quickbase System Administrator is a critical, hands on role responsible for the configuration, maintenance, and reliable operation of our core business applications. The primary focus of this position is the administration, design, and optimization of our Quickbase platform, serving as the central hub for our operational data.


Responsibilities


Platform Design & Development

  • Design, configure, and maintain Quickbase applications, tables, fields, forms, relationships, workflows, and dashboards to support operational and clinical needs
  • Build and optimize data structures using relational database principles and Master Data Management (MDM)\ standards
  • Develop custom solutions using medium-code tools, HTML, CSS, and basic JavaScript where needed
  • Evaluate platform capabilities and recommend architectural improvements to support evolving business requirements
  • Build and maintain standard reports, dashboards, and ad-hoc analyses to support leadership decision-making and clinical operations

Platform Maintenance & Administration

  • Act as the dedicated administrator for core operational and clinical databases, managing user permissions, role assignments, access controls, and system security
  • Manage database health, capacity planning, and system monitoring to ensure reliable performance
  • Investigate and resolve technical issues, bugs, and system errors in a timely manner
  • Maintain comprehensive documentation of system configurations, workflows, and troubleshooting procedures
  • Develop and enforce data quality standards, including ongoing data cleanup, duplicate elimination, and accuracy validation

Process Design & Project Management

  • Partner with cross-functional stakeholders (clinical, marketing, operations) to understand current workflows, identify pain points, and define technical requirements
  • Design and optimize automated workflows, approval processes, notifications, and custom business logic
  • Lead implementation projects including testing, user training, and deployment
  • Create and maintain process documentation and training materials for end-users
  • Communicate technical constraints and feasibility assessments to non-technical stakeholders

Integrations & Workflow Automation

  • Build and maintain data integrations and pipelines between Quickbase and third-party enterprise systems
  • Develop and manage API connectivity and middleware configurations
  • Troubleshoot integration issues and ensure data accuracy across systems


Qualifications

Required

  • Bachelor's degree in Information Systems, Computer Science, Business Administration, or a related field (or equivalent practical experience)
  • 3+ years of hands-on experience as a systems administrator or analyst supporting enterprise-level business applications
  • Proven understanding of relational database structures, data modeling concepts, and Master Data Management (MDM) principles
  • Proficiency in workflow automation and low-code/no-code platform administration and development
  • Strong understanding of APIs, data mapping, middleware tools, and integration concepts
  • Experience with data manipulation and transformation tools (e.g., advanced Excel, Power Query/M code, or SQL)
  • General knowledge of code review and functional proficiency with HTML, CSS, and basic JavaScript for custom page development
  • Excellent analytical, problem-solving, and cross-functional communication skills
  • Ability to work independently, prioritize competing demands, and make timely decisions in a fast-paced environment

Preferred

  • Direct, hands-on administration and development experience with Quickbase, including formal platform certifications
  • Experience in healthcare operations or clinical data management
  • True software development experience or advanced proficiency in hard-coding languages beyond basic scripting
  • Background in process improvement or business analysis
