Job Description

The Program Administration Officer provides high-quality administrative and operational support to the Student & Academic Administration Manager, academic leadership, and teaching staff, ensuring the effective delivery of Western Sydney University programs at Sydney City Campus. It is responsible for coordinating key academic administration processes across a high-volume teaching environment, including teaching readiness, learning materials, and assessments, while ensuring compliance with SCC/School Joint Procedures and University requirements. The role also supports student-facing administrative activities throughout the student lifecycle, helping to maintain operational continuity and deliver a positive student experience through accurate, timely, and consistent service.

Key responsibilities

  • Coordinate academic administration processes, including subject outlines, assessments, examinations, moderation activities, and results administration.
  • Ensure compliance with University requirements, quality assurance frameworks, and academic policies while maintaining accurate records and documentation.
  • Manage the setup, maintenance, and quality control of learning management system sites, ensuring content is current, accessible, and compliant.
  • Support teaching delivery through timetable coordination, classroom and technology requirements, scheduling updates, and subject readiness activities.
  • Provide administrative support across the student lifecycle, including enquiries, onboarding, progression activities, and stakeholder communications.
  • Build effective relationships with academic, professional, and external stakeholders to support the successful delivery of programs and services.
  • Maintain databases, records, reporting, and operational systems, while providing general administrative support to academic leadership and teaching staff.

Qualifications

Essential Skills, Knowledge, and Experience 

  • Relevant tertiary qualification or equivalent administrative experience, ideally within an education or similarly complex environment. 
  • Demonstrated experience in academic or operational administration, with an understanding of compliance-driven processes. 
  • Strong organisational skills with the ability to manage competing priorities and meet strict deadlines. 
  • High level of attention to detail and accuracy in record keeping and documentation. 
  • Excellent written and verbal communication skills. 
  • Proven ability to work both independently and collaboratively within a team environment. 
  • Strong stakeholder engagement skills with the ability to build effective working relationships. 
  • Demonstrated ability to support high-volume, time-sensitive operations. 
  • High level of IT literacy, including Microsoft Office and administrative systems. 
  • Commitment to delivering high-quality, responsive service to students and staff. 

Desirable Skills 

  • Experience working in the higher education sector or similar regulated environment. 
  • Knowledge of the ESOS Act (2000) and the National Code (2017). 
  • Experience supporting teaching delivery, assessments, or academic program coordination. 
  • Familiarity with Learning Management Systems (e.g. vUWS/Blackboard Ultra). 
  • Experience in process monitoring, reporting, or operational coordination
