Reports To: Supervisor, Adult Education

Amount of Travel Required: Day travel, no more than once per month

LOCATION:  Green Bay, WI

STANDARD HOURS:  24 hours per week, Monday thru Friday; varying schedule based on needs.

PAY RATE: $23.33

This position is grant funded through June 30, 2028.

POSITION SUMMARY  

The ELL Program Support Specialist provides administrative, instructional, and student support to the English Language Learning (ELL) program. This role focuses on improving student assessment processes and developing a centralized system for data collection, management, and reporting that integrates multiple data sources. The specialist analyzes and shares data with faculty and administration, providing actionable insights to support student success, retention, and continuous program improvement. Additionally, the role enhances digital resources for both faculty and students. As a grant-funded position, the specialist works to increase program efficiency, promote student success, and ensure compliance with educational standards and reporting requirements. 

ESSENTIAL FUNCTIONS 

Data Management, Reporting, and Student Tracking 

  • Develop and manage centralized systems to track student progress, including enrollment, assessments, attendance, level gains, completion, and withdrawal data  

  • Maintain accurate student records, support faculty with updates, and review attendance with follow-up to re-engage inactive students  

  • Utilize Workday for case notes and expanded data tracking; compile and analyze survey data to identify trends and provide actionable insights to leadership 

Student Support, Planning and Engagement 

  • Collaborate with the Adult Education Navigator to support and monitor Personal Education Plans (PEPs) 

  • Engage with students in classroom settings to ensure goals (GED completion, English proficiency, and career pathways) are clearly documented, updated, and supported 

Assessment Coordination, Training and Program Support 

  • Support faculty in monitoring DRC (Data Recognition Corporation) writing folio scoring needs with follow up with faculty to ensure timely completion.  

  • Prepare and distribute the “Next Test to Administer” recommendations. Track student progress, including National Reporting System (NRS) gains, to determine appropriate testing schedules. 

  • Develop and maintain training resources (videos, guides) for DRC, Workday, and ELL processes to improve consistency and efficiency 

  • Maintain and update the ELL Quick Reference Manual to ensure accurate policies, procedures, and faculty resources 

POSITION QUALIFICATIONS

Minimum Qualifications

Education

  • Associate degree in related field 

Experience

  • At least one year of experience in administrative, student services, or a related field 

  • Ability to clearly explain technical processes to faculty and provide culturally responsive, empathetic support to adult English Language Learners. 

  • Demonstrated ability to work effectively in a grant-funded environment with evolving priorities and a focus on measurable outcomes and continuous improvement. 

**An equivalent combination of education and work experience may be considered  

Computer Skills:  

  • Microsoft office applications to include Word, Excel, PowerPoint, and MS Teams 

  • Ability to learn and utilize systems specific to ELL programming to include Workday and online platforms for learning and testing 

Preferred Qualifications 

  • Bilingual or multilingual language skills preferred
