Job Description
The Office Manager provides direct supervision of competent support services including but not limited to all external and internal facility operational processes and systems. Oversee all Front Desk Receptionists, Maintenance Team, and Security Personnel.Â
SCHEDULE: Monday - Friday 9:00 AM - 6:00 PM
Responsibilities:
Reception & Front Desk ManagementÂ
- Manage the reception area to ensure effective communications both internally and externally while maintaining a professional imageÂ
- Lead the coordination and management of daily/weekly task assignments for all Front Desk ReceptionistsÂ
- Provide ongoing training and guidance to Front Desk Receptionists in their duties and responsibilitiesÂ
- Supervise front desk staff, ensuring smooth coordination with clinical and administrative teamsÂ
- Assist with crisis intervention as neededÂ
- Maintain room assignments and ensure rooms/supplies are prepared for newly hired staffÂ
- Obtain completed forms or letters from the Psychiatrist/Psychiatric Nurse Practitioner as requiredÂ
Operational Oversight & Workflow ManagementÂ
- Responsible for quality assurance of office operations and frontline workflow processes (including EHR check-in/out and walk-in referrals)Â
- Initiate and follow up on service requests for all facility maintenance and equipment needsÂ
- Supervise maintenance and alteration of office areas and equipment, including layout and housekeepingÂ
- Utilize resources to report and track maintenance/facility requestsÂ
- Monitor the MetroCard distribution and reconciliation processÂ
- Initiate purchase requests for office supplies, furniture, and equipment for the entire program locationÂ
- Supervise the maintenance of office equipment (PCs, printers, scanners, fax machines, etc.)Â
- Assist with using Video Telehealth Technology or video meeting platformsÂ
- Manage the dissemination of program reports and execution of reporting follow-up assignmentsÂ
- Coordinate with other teams to ensure smooth and efficient communication flowÂ
- Ability to support cross-department collaboration and communicationÂ
- Accountability for timely resolution of operational escalationsÂ
- Ability to analyze operational trends and support workflow improvement initiativesÂ
Operational ComplianceÂ
- Ensure compliance with NYS DOH, OMH, Joint Commission, HIPAA, OSHA, and organizational policies as applicable.Â
- Monitor adherence to front desk workflows, documentation standards, and regulatory requirements.Â
Performance MetricsÂ
- Monitor and report key operational metrics, including:Â
- Client wait timesÂ
- Front desk productivityÂ
- No-show trends/ Provider scheduling and supportÂ
- Reception quality audits : Develop action plans to improve operational performance.Â
Incident & Risk ManagementÂ
- Respond to operational incidents and facility emergencies.Â
- Complete incident documentation and coordinate follow-up with leadership.Â
- Participate in emergency preparedness planning and drills.
Vendor & Building CoordinationÂ
- Serve as the primary liaison with:Â
- Building managementÂ
- Cleaning vendorsÂ
- Security vendorsÂ
- Equipment vendorsÂ
- Facilities/Maintenance contractorsÂ
Budget ResponsibilitiesÂ
- Assist with departmental budget planning.Â
- Monitor office supply expenses.Â
- Ensure cost-effective purchasing practices.Â
Technology SupportÂ
- Coordinate onboarding and offboarding of office equipment and workspace setup.Â
- Partner with IT regarding workstation setup, equipment issues, and technology deployments.
Employee OnboardingÂ
- Coordinate onboarding of Front Desk Receptionists, including workspace preparation, access requests, and orientation.Â
- Ensure new staff complete required operational training.Â
Quality ImprovementÂ
- Participate in quality improvement initiatives.Â
- Identify workflow inefficiencies and recommend operational improvements.Â
- Support implementation of new organizational initiatives and process changes.Â
Customer ExperienceÂ
- Monitor and promote exceptional client experience at all points of entry.Â
- Address client concerns and service recovery when necessary.Â
Team Leadership & DevelopmentÂ
- Regularly conduct team huddles and staff meetingsÂ
- Conduct performance appraisals and evaluations to assess employee engagement and expectationsÂ
- Oversight of daily staffing coverage and attendance escalationsÂ
- Conduct staff write-ups and performance documentation in line with organizational policiesÂ
- Monitoring frontline professionalism and client experience standardsÂ

- Meet regularly with the Program Administrator to discuss program operationsÂ
- Report directly to the Senior Manager, Call Center & Bronx Support Services with updates on operations, challenges, and team performanceÂ
- Effectively coordinate special events, employee wellness, and engagement activitiesÂ
Miscellaneous Â
Perform other duties as assigned by Supervisor and LeadershipÂ
Qualifications
- High School Diploma or equivalent Â
- At least 5+ years of experience in an Office Management positionÂ
- Preference for experience in behavioral health, outpatient clinics, or high-volume healthcare environmentsÂ
- Able to effectively and professionally communicate in Spanish (both verbally and written)Â
- Strong escalation management and problem-resolution skillsÂ
- Demonstrated experience in team management and mentoringÂ
- Exceptional leadership and management skills Â
- Excellent communication and organizational skillsÂ
- Outstanding customer service skills Â

Additional Information
Salary: $80,000 - $90,000 per year
Compensation commensurate with experience and qualifications.
