Media & Events Assistant

Stanbridge University is seeking a highly organized, proactive, and dependable Media & Events Assistant to support the day-to-day operations of the Media and Communications department. This hands-on role supports university events, marketing initiatives, content coordination, administrative projects, and the movement and installation of event and promotional materials across campus and off-site locations.

The ideal candidate is a resourceful self-starter who enjoys working behind the scenes to keep projects organized and events running smoothly. Success in this position requires strong attention to detail, effective communication, flexibility, and a willingness to assist wherever needed in a fast-paced, collaborative environment.

Essential Functions

  • Support the planning, coordination, setup, execution, and breakdown of university events, including orientations, ceremonies, employee events, marketing activations, and other university functions.
  • Coordinate routine email and phone communication related to events, interviews, vendors, schedules, and departmental projects.
  • Assist with the production, printing, organization, transportation, and installation of signage, graphics, promotional materials, and event collateral.
  • Pick up, transport, and deliver marketing materials, event supplies, equipment, gifts, and other university materials between campuses, vendors, and event locations.
  • Safely operate university or rental vehicles, including sprinter vans, cargo vans, and similar vehicles, as required.
  • Assist with social media and digital content by scheduling, uploading, organizing, and updating approved content across university platforms and blogs.
  • Support marketing campaigns, surveys, and communications projects through data collection, research, tracking, and basic reporting.
  • Maintain organized digital and physical files, project materials, event inventories, and departmental records.
  • Perform general administrative duties, including data entry, scanning, filing, document preparation, scheduling, and correspondence.
  • Provide logistical and administrative support to faculty, staff, and university departments for approved media, communications, and event-related initiatives.
  • Coordinate closely with members of the Media and Events team to track deadlines, priorities, materials, and project deliverables.
  • Assist with special projects and other departmental responsibilities as assigned.

Qualifications

Required

  • High school diploma or equivalent.
  • Valid driver's license and ability to safely operate company or rental vehicles, including larger vehicles such as sprinter vans and cargo vehicles, as required.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities, deadlines, and changing assignments in a fast-paced environment.
  • Strong written and verbal communication skills in English.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and related productivity tools.
  • Ability to work independently while contributing effectively within a collaborative team environment.
  • Dependable, responsive, and willing to take initiative in completing both administrative and hands-on assignments.
  • Ability to work occasional evenings and weekends in support of university events.

Preferred

  • Associate degree or higher.
  • Previous experience supporting events, marketing, communications, media, hospitality, administrative operations, or a related environment.
  • Experience with social media platforms, content management systems, basic marketing tools, or digital communications.
  • Experience coordinating vendors, event materials, equipment, deliveries, or logistics.

Compensation

$21.00–$23.00 per hour. Compensation is based on education, experience, relevant expertise, and internal equity considerations.

Work Environment

  • Work is performed in a combination of office, campus, event, storage, vendor, and off-site environments.
  • Duties include regular computer and administrative work as well as frequent movement throughout university facilities.
  • The position may require travel between university locations, vendors, and event venues.
  • Event responsibilities may occasionally occur during evenings or weekends.
  • Work may involve changing priorities, frequent interruptions, event-related activity, noise, and time-sensitive deadlines.
  • Some assignments may be performed indoors or outdoors depending on the event or project.

Physical Demands

  • Regularly sits, stands, walks, bends, reaches, and moves throughout campus and event locations.
  • Frequently uses computers, electronic keyboards, phones, and standard office equipment.
  • Must be able to communicate effectively by phone, electronically, and in person.
  • Must be able to read printed and electronic materials and accurately review visual details.
  • Able to lift, carry, push, pull, and/or move materials weighing approximately 10–25 pounds as needed.
  • Must be able to assist with event setup and breakdown, including moving supplies, signage, boxes, displays, and related materials.
  • Must be able to enter, exit, load, unload, and safely operate university or rental vehicles as required.
