Maintenance Coordinator Virtual Assistant

Full-Time | Long-Term | Remote

Smartland is looking for an experienced Maintenance Coordinator Virtual Assistant to support our property management team. This is not an entry-level position. We need someone who can confidently coordinate maintenance requests, dispatch technicians, manage a high volume of work orders, and keep our CRM and spreadsheets accurate and up to date.

Responsibilities

• • Coordinate maintenance requests from residents and property managers.
  • Dispatch technicians and vendors efficiently.
  • Schedule repairs and follow up to ensure timely completion.
  • Track work orders and update their status.
  • Maintain accurate records in the CRM.
  • Manage and update spreadsheets used for maintenance tracking.
  • Communicate with tenants, technicians, vendors, and internal team members.
  • Prioritize urgent maintenance issues and keep all stakeholders informed.
  • Ensure maintenance tasks are completed on time and documented properly.
  
  

Qualifications

• • AppFolio experience is REQUIRED and NON-NEGOTIABLE. Applications without AppFolio experience will not be considered.
  • Previous experience as a Maintenance Coordinator, Property Management Assistant, or similar role.
  • Experience handling a high volume of maintenance requests.
  • Proven experience dispatching maintenance technicians and coordinating vendors.
  • Strong proficiency with Google Sheets or Microsoft Excel.
  • Experience maintaining and updating CRM systems.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time management skills.
  • Ability to multitask, prioritize, and work independently.
  
  

Preferred Qualifications

• • Background in residential property management.
  • Experience coordinating maintenance vendors and technicians remotely.
  • Familiarity with work order management systems.
  
  

Compensation

• • $560 USD bi-weekly
