Under the general supervision of the Senior Manager of LV Services, the Licensing Specialist is responsible for spearheading the growth and strategic management of the company's Clinical Outcome Assessment (COA) Author Representation and Access portfolio. This role drives profitability and expands market presence by cultivating a robust network of relationships with copyright holders, developers, and distributors. As an internal subject matter expert on COA licensing, the Licensing Specialist advises project teams on pricing and requirements for new scales, manages the quotation process for distributed scales, and ensures the integrity of all licensing data and documentation. Success in this position requires a commitment to improving departmental efficiency, upholding company quality standards, as well as mentoring junior team members.

Job Overview

Key Responsibilities

  • Spearhead the growth and management of the company's Clinical Outcome Assessment (COA) Author Representation and Access portfolio, overseeing distribution strategies, external marketing materials, and internal knowledge bases (e.g., SharePoint sites, websites).
  • Maintain the integrity and accuracy of the central instrument database, ensuring all COA profiles, licensing terms, and historical project data are current and accessible.
  • Proactively recommend and help implement new policies and procedures to improve the efficiency, quality, and profitability of the licensing service line.
  • Cultivate and manage relationships with new and existing copyright holders, developers, and distributors to expand the company's network and access to instruments.
  • Conduct outreach and thorough research to establish and document licensing fee structures, translation requirements, and developer availability for third-party COAs.
  • Serve as a liaison for stakeholders, ensuring prompt, professional communication to secure necessary information and permissions while managing expectations.
  • Manage the end-to-end quotation process for RWS-distributed scales, analyzing client specifications to prepare accurate and timely cost estimates.
  • Act as the internal subject matter expert on COA licensing, proactively advising project teams on potential risks, including unresponsive developers, costly fees, or protracted timelines.
  • Adhere to all company Quality Management System (QMS) requirements, including ISO 9001 and ISO 17100 standards, to ensure consistent, high-quality delivery.
  • Provide mentorship, support, and training to junior team members on licensing procedures, research techniques, and departmental best practices.

Skills & Experience

  • Bachelor’s Degree in Business, English, Foreign Language, Sales, Marketing, Social or Applied Science, or other related field.
  • At least one to two years of professional experience in a role focused on licensing and permissions, business development, or strategic partnerships.
  • Exceptional interpersonal and professional communication skills (both written and verbal), with a proven ability to serve as a clear and reliable liaison for internal and external stakeholders.
  • Strong analytical and investigative skills, with the ability to research complex topics, document findings clearly, and advise teams based on the data.
  • Excellent organizational and time-management skills, with the ability to manage multiple competing priorities, from long-term strategic outreach to urgent requests for licensing information.
  • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and experience working with shared knowledge bases like SharePoint.
  • Direct experience in the life sciences, clinical research, pharmaceuticals, or translation/localization industry.
  • Direct experience working with copyright, intellectual property (IP), or licensing agreements.
  • Specific knowledge of or experience with Clinical Outcome Assessments (COAs).
  • Familiarity with Quality Management Systems (QMS), such as ISO 9001 or ISO 17100.
