About this role

SUMMARY: Under the general supervision of the LA Office Administrator and according to established Firm policies and procedures, the Project Assistant performs a variety of administrative duties for Firm clients.

The Project Assistant will work collaboratively with teams on specific short and long-term projects. Oversee tasks as delegated, coordinate with case teams. Highly organized, adaptable, and able to prioritize tasks while working independently.

Key Responsibilities:

  • Work collaboratively with the paralegals, attorneys, staff and team(s) to maximize productivity.

  • Monitor and distribute case documents daily.

  • Assist in managing high volume case files.

  • Managing high volume documents

  • Organize and maintain case folders in iManage, SharePoint and Box.

  • Track records/cases in Excel

  • Report updates verbally and in written form to case teams.

  • Complete necessary administrative tasks, such as correspondence, legal documents, filing, expenses, invoices, communications with vendors.

  • Input, edit, and proofread attorney and other legal personnel time entry.

  • Assist with overflow support as needed.

  • Manage requests; includes organizing, submitting, and monitoring workflow.

  • Other duties as assigned.

Qualifications:

  • High School/GED required; minimum 3 years’ relevant work experience.

  • Experience in Litigation

  • Exceptional communication and interpersonal skills.

  • Keen attention to detail and an aptitude for problem solving; able to proactively address potential issues.

  • Excellent computer skills, including Microsoft Office; significant hands-on experience with legal-specific software.

  • Collaborative working style and team-player attitude.

  • Able to work independently with little supervision; highly motivated with a strong work ethic.

  • Outstanding organizational skills and ability to prioritize tasks.

  • Interpersonal skills necessary to communicate in person, by e-mail, and telephone to provide information with ordinary courtesy, ease, and tact.

  • Able to thrive in a high-volume, deadline-driven work environment.

  • May require work in excess of the standard 40 hours work week.
