About the Role

We're looking for a detail-oriented People Operations Specialist to join our People Operations team. This role owns the day-to-day administration of the employee lifecycle — onboarding, offboarding, personnel changes, and leave administration — ensuring every employee has an accurate, timely, and well-communicated experience from their first day through their last. You'll work closely with People Operations, IT, and Finance partners, and you'll be a first point of contact for employees navigating all HR processes.

Compensation:

For this People Operations Specialist the compensation range is $1,500 - $1,750 USD GROSS per month as a contractor. 

What You'll Do

  • New Hire Processing: Process new hires through the applicant tracking system into the HRIS onboarding module, complete and launch onboarding forms to trigger new-hire communications, and troubleshoot integration issues to make sure every new hire receives their onboarding email.

  • Onboarding Documentation: Follow up with new hires to ensure required onboarding paperwork is completed accurately and on time, providing guidance and answering questions throughout the process.

  • Onboarding Communications: Send welcome communications to new hires, including company overview materials and time-off policy information, plus a separate benefits overview for eligible populations; collect shift preference selections and communicate confirmed schedules to the relevant stakeholders.

  • New Hire System Setup: Complete new-hire records in the HRIS and timekeeping system, troubleshoot new-hire system access issues, and process internal transfers, rehires, and intern-to-full-time conversions.

  • Onboarding Facilitation: Lead onboarding sessions for new hires across a variety of roles, teams, and employment types.

  • I-9 & E-Verify Compliance: Manage Form I-9 completion and E-Verify processing for all eligible new hires (US).

  • Offboarding & Terminations: Process employee terminations in the HRIS, send exit checklists and required documentation to departing employees, and manually deactivate access in third-party vendor portals that aren't connected via system integration.

  • Offboarding Coordination: Notify benefits administrators of qualifying termination events and coordinate with IT on equipment retrieval and system access timing for involuntary terminations.

  • Personnel Changes: Process compensation, title, department, and supervisor changes in the HRIS and internal tracking tools; prepare compensation change proposals for approval and communicate approved changes to managers.

  • Leave & Flexible Work Administration: Track and enter leave hours in the HRIS, coordinate leave dates and required documentation with employees, calculate benefit top-off amounts where applicable, and process flexible/remote work location requests.

  • HR Reporting & Compliance: Prepare monthly and ongoing HR audits, process unemployment claims, prepare employment verification letters, support monthly HRIS/ATS data reconciliation, generate PTO and related HR reports, and maintain compensation and equity tracking records.

  • Policy & Program Administration: Manage employee handbook and policy acknowledgments in the HRIS, and support internal employee recognition or nomination programs.

What We Look For

  • Fluent in written and spoken English. 
  • 1–3 years of experience in HR operations, HR coordination, or a similar HRIS administrative role

  • Hands-on experience with an HRIS (e.g., UKG, Workday, ADP, BambooHR, or similar)

  • Experience with an applicant tracking system (e.g., Greenhouse or similar)

  • Working knowledge of leave administration, termination procedures, and onboarding compliance requirements (including Form I-9/E-Verify for US-based roles)

  • Strong attention to detail and comfort managing high-volume, deadline-driven administrative work

  • Excellent written and verbal communication skills for employee-facing correspondence

  • Discretion and sound judgment when handling sensitive employee data

  • Proficiency in Excel or Google Sheets

  • Demonstrated experience working with Claude or equivalent large language model tools is required; candidates must be comfortable leveraging AI to enhance productivity, research, and communication.

Preferred Qualifications

  • Experience supporting HR operations across multiple countries or business units

  • Experience with case management or ticketing systems (e.g., Jira, ServiceNow, or similar)

  • Background in a multi-country or global company where Colombian operations interface with a US-based HQ.
