Customer Support Coordinator

In this role, you will support service operations by coordinating scheduling, collections, inventory, customer accounts, and administrative follow-through so work moves smoothly from request to completion.

Role Overview

The Customer Support Coordinator plays a key role in keeping branch service operations organized, accurate, and customer-focused. You will work closely with the CRC, Service Team Manager, Service Team Leaders, vendors, and internal support teams to coordinate service requests, manage documentation, and help ensure technicians and customers receive timely support.

Key Responsibilities

  • Coordinate cash and collections activities and support related administrative follow-up.
  • Track employee safety statistics, safety training, truck inventory counts, branch inventory, and vehicle inventory records.
  • Generate on-call schedules and support schedule updates as service needs change.
  • Work with the CRC to schedule customer service requests from initiation through service completion.
  • Generate and track customer orders, process shipments, and support new customer account setup.
  • Partner with service leaders to support technician scheduling, resource productivity, and customer satisfaction.
  • Assist with customer surveys, connected systems follow-up, and customer communication.
  • Support vendor invoice and shipment issue resolution, AR and AP tasking, COI requests, and other service administration tasks as directed.
  • Support parts ordering, material-only service requests, quoted jobs, special handling updates, RMAs, and specialty tool return tracking.
  • Assist with report tracking, supply chain finance tasks, new truck creations, inventory trunk closeouts, vendor setup, Global Preferred Supplier List updates, fleet administration, and uniforms.

How You Will Do It

  • Own your assignments with accuracy, accountability, safety, and integrity so customer, inventory, and financial records stay reliable.
  • Stay close to the work by partnering daily with CRC, service leadership, and vendors to remove barriers and keep requests moving.
  • Keep schedules, statuses, and follow-up actions current so technicians, customers, and internal teams always know the next step.
  • Use clear, timely communication when sending quotes, securing POs, maintaining bill-to information, or resolving service, shipment, or invoice issues.
  • Review reports and exceptions with a problem-solving mindset to improve service flow, reduce delays, and support better customer outcomes.
  • Work as one team across service, finance, supply chain, and branch operations to balance customer expectations, productivity, and profitability.

Qualifications

  • High school diploma or equivalent is required; an Associate of Arts degree or college degree is preferred.
  • At least 2 years of administrative experience with a background in Sales, Operations, and/or Administration.
  • Knowledge or experience with a CRM tool such as Siebel or SalesForce.com.
  • Experience in a call center environment is preferred.
  • Ability to analyze and solve problems with a high degree of accuracy.
  • Ability to assess issues quickly and provide practical solutions.
  • Strong communication skills with the ability to work effectively with all levels of end-users in a patient and friendly way.
  • Ability to multi-task, establish priorities, and work independently with minimal supervision.
  • A highly motivated, detail-oriented approach with excellent attendance and the ability to work designated hours.
  • Proficient computer skills in Microsoft Word, Excel, PowerPoint, and Internet business application usage.
