About the Job:

The HR Operations Specialist plays a crucial role in supporting the overall human resources function by managing and executing key HR operational activities. This position involves a combination of administrative tasks, process management, and collaboration with various stakeholders to ensure the smooth functioning of HR processes. The HR Operations Specialist is responsible for maintaining accurate HR records, handling employee inquiries, and contributing to the efficiency of HR operations. 


What You'll Do:

  • Manage employee onboarding and offboarding activities, partnering with the Talent Acquisition (TA) team to ensure smooth and timely onboarding experience, including employee orientation, documentation, and accurate updating of new hire information in HR systems.
  • Coordinate employee offboarding processes, ensuring proper completion of clearance requirements, documentation, system updates, and exit interviews when applicable.
  • Maintain and manage employee data in the HRIS and other HR platforms, ensuring information is accurate, complete, current, and properly documented.
  • Partner with Payroll and Compensation & Benefits (CompBen) teams to ensure accurate and timely submission of employee and compensation-related data required for payroll processing.
  • Process employee movements and changes in employment status, including transfers, promotions, regularization, and other employment changes, while preparing the necessary documentation and system updates.
  • Maintain accurate and up-to-date employee records and documentation, including 201 files and other employment-related records, while ensuring compliance with internal policies and documentation requirements.
  • Prepare and process Certificates of Employment (COEs) and other employment-related documents based on authorized employee requests.
  • Respond to employee inquiries and provide timely support on HR Operations concerns, coordinating with internal teams and external parties when necessary.
  • Conduct periodic audits of employee records and HRIS data to identify missing, incomplete, or inaccurate information and coordinate the necessary corrections or completion of documentation.
  • Prepare HR Operations reports, trackers, and monitoring tools to support workforce administration, compliance, and operational decision-making.
  • Support the review and continuous improvement of HR Operations processes, workflows, and documentation to improve efficiency, accuracy, consistency, and employee experience.
  • Support the implementation and continuous improvement of HR systems and digital HR processes, including platforms such as Rippling and SweldoMo.
  • Identify recurring HR Operations issues and system-related concerns, recommend appropriate solutions, and escalate complex or unresolved matters to the HR Operations Lead, Supervisor, or HR Services Manager.
  • Collaborate with cross-functional teams to ensure timely and accurate completion of HR transactions and provide seamless HR support throughout the employee lifecycle.

What You'll Bring:

  • Bachelor’s degree in Human Resources Management, Psychology, Business Administration, Management, or a related field.
  • 1–3 years of relevant experience in HR Operations, HR Administration, HR Shared Services, or a similar role.
  • Working knowledge of Philippine HR practices and employment documentation, including onboarding, offboarding, employee records, employment movements, and Certificates of Employment (COE).
  • Familiarity with Philippine labor laws and statutory employment requirements is an advantage.
  • Experience using HRIS platforms or digital HR systems; experience with Rippling, SweldoMo, or similar HR/payroll systems is a plus.
  • Strong attention to detail, particularly in maintaining employee records, validating HRIS data, and processing employment-related documents.
  • Good understanding of HR administrative processes and employee lifecycle activities, from onboarding through offboarding.
  • Strong organizational and time-management skills, with the ability to manage multiple HR transactions, requests, and deadlines simultaneously.
  • Good written and verbal communication skills, with the ability to respond professionally and appropriately to employee inquiries.
  • Ability to handle confidential employee and compensation-related information with discretion and professionalism.
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook/Teams, or equivalent productivity tools.
  • Strong problem-solving skills and the ability to identify discrepancies, recurring issues, and opportunities to improve HR processes.
  • Detail-oriented, dependable, and able to work effectively with cross-functional teams such as Talent Acquisition, Payroll, Compensation & Benefits, and Finance.
  • Willingness to learn new HR systems, processes, and digital tools and adapt to a fast-paced HR Operations environment.
