The Role
As our HR Assistant in Los Angeles, you will serve as an operational anchor for our Global People & Culture team. This role bridges team administration, payroll support, new-hire onboarding, candidate logistics, and front-of-house hospitality. Working closely with both HR Operations and Talent Acquisition, you’ll ensure our team members and candidates experience a seamless, welcoming environment from day one. This role will report ON-SITE in our Los Angeles Office 5 days a week, and the expected working hours are between 8:00am to 5:00pm
What You'll Do
Payroll & General HR Support
- Support bi-weekly and semi-monthly payroll cycles in Rippling by entering data, reviewing timesheets, and auditing basic changes.
- Maintain clean employee profiles in Rippling across new hires, team transitions, compensation updates, and offboardings.
- Respond to routine employee questions regarding policies, benefits, and HR processes, escalating as appropriate
- Assist with maintaining personnel files and ensuring data accuracy across HR systems
- Support ad hoc HR projects and administrative tasks as assigned
Onboarding & Compliance
- Lead new-hire documentation workflows, executing compliant and timely I-9 verifications (Section 1 & 2 reviews and E-Verify processing).
- Assigns and tracks completion of mandatory training for new hires, ensuring compliance deadlines are met and following up as needed.
- Send clear, welcoming first-week communications and assist with initial day-one logistics.
Recruiting Coordination
- Schedule candidate interviews across complex team calendars, time zones, and communication channels.
- Maintain accurate candidate data in the applicant tracking system, initiate background checks, and assist with offer packages.
- Coordinate on-site candidate visits, ensuring every prospective team member has a smooth, positive interview experience.
Front Desk & Workplace Operations (As Needed)
- Provide as-needed front desk cover, greeting guests, vendors, and candidates with a warm, professional presence.
- Support overall office vibrancy by assisting with administrative deliveries, visitor logs, and localized team initiatives.
What You'll Bring
- 1–2+ years of HR, payroll, or high-volume administrative support experience (structured internship experience welcome).
- Exercises discretion and maintains strict confidentiality when handling sensitive employee and HR information.
- Demonstrates sound judgment when handling ambiguous situations, prioritizing tasks, and knowing when to escalate.
- Familiarity with HRIS (Rippling) and ATS (Workable), preferred
- Practical understanding of I-9 compliance standards and employee recordkeeping.
- Sharp organizational skills with meticulous attention to detail and data accuracy.
- High integrity and discretion when working with sensitive, confidential workforce data.
- A proactive, welcoming communication style that builds immediate trust across all levels of the business.
- Proficiency with Google Workspace and Excel
- Bachelor’s degree preferred, or equivalent combination of education and experience.
- Base Compensation Range: $23 - 26 hourly
