We are seeking a Front Office Agent to join our dynamic team. Role Overview:
The Front Office Agent is responsible for providing exceptional guest service throughout the guest journey, ensuring efficient and professional check-in and check-out experiences, handling guest inquiries, reservations, and communications, and delivering personalized service that creates a Fantastic Experience.
The Front Office Agent serves as a key point of contact for guests, processes financial transactions accurately, coordinates guest requests with relevant departments, promotes resort amenities and services, and supports lead generation initiatives for the Resort’s ownership and accommodation programs.
Main Key Responsibilities:
General Duties
- Comply with all departmental policies, procedures, service standards, and hotel regulations.
- Maintain a professional appearance, positive attitude, and high standard of personal grooming at all times.
- Anticipate guest needs and respond promptly, courteously, and professionally.
- Maintain positive guest relations and confidentiality at all times
- Demonstrate a commitment to delivering Inspired Hospitality, and ensure every guest has a fantastic experience.
Guest Check-In & Check-Out
- Welcome guests warmly upon arrival and facilitate efficient check-in procedures.
- Verify reservation details and ensure guest information is accurate and complete.
- Assign accommodations in accordance with reservation requirements and operational procedures.
- Process guest departures efficiently and accurately.
- Prepare and present guest folios and ensure all charges are posted correctly.
- Ensure compliance with all registration and identification procedures.
Guest Relations & Service Excellence
- Escort guests to their assigned accommodations when required.
- Conduct comprehensive in-room orientations, explaining room features, appliances, resort amenities, and services.
- Respond promptly and professionally to guest requests, concerns, and inquiries.
Follow up on guest issues to ensure satisfactory resolution. - Maintain extensive knowledge of resort facilities, services, operating hours, room categories, promotions, and special events.
- Provide recommendations regarding local attractions, restaurants, transportation, and activities.
Concierge & Reservations Support
- Book guest activities, tours, transportation, restaurant reservations, and other concierge-related services.
- Coordinate guest requests with internal departments and external service providers.
- Assist guests with special arrangements and personalized experiences.
- Facilitate transportation and logistical requests as required.
- Meet and greet guests at GIA (Grantley Adams International Airport) when requested to do so.
Telephone & Communication Operations
- Handle incoming and outgoing calls professionally and efficiently.
- Accurately relay messages and guest requests to appropriate departments.
- Maintain confidentiality and discretion when handling guest communications.
- Respond to inquiries received through telephone, email, and other communication channels in accordance with service standards.
Sales & Revenue Generation
- Promote resort amenities, services, dining outlets, and activities to enhance the guest experience.
- Upsell room categories and resort offerings where appropriate.
- Generate qualified leads for the Resort’s ownership and fractional ownership programs.
- Support revenue generation initiatives through effective promotion of resort products and services.
Cash Handling & Financial Transactions
- Receive and process guest payments accurately using approved methods.
- Post charges, payments, refunds, and adjustments correctly to guest accounts.
- Follow established cash-handling procedures and financial controls.
- Maintain accurate records of all transactions and balances.
Operational Support & Coordination
- Communicate effectively with team members and departments regarding guest arrivals, departures, room status, and operational updates.
- Coordinate with Housekeeping to ensure room readiness and occupancy requirements are met.
- Assist with guest luggage, grocery deliveries, and special requests as required.
- Transport groceries purchased from resort outlets to guest accommodations and assist with unpacking when required.
- Maintain accurate guest records and documentation within the property management system.
Safety & Complianc
- Adhere to all health, safety, fire, and security regulations.
- Ensure the security and confidentiality of guest information.
- Follow emergency procedures and report incidents promptly.
- Comply with all company policies regarding data protection, financial controls, and guest privacy.
End of Shift Duties
- Complete all required reports, documentation, and handover notes.
- Reconcile assigned transactions and balances as required.
- Communicate outstanding issues to incoming team members and supervisors.
- Ensure workstations are clean, organized, and prepared for the next shift.
Required Skills and Qualifications:
- Secondary school education or equivalent.
- Basic mathematical and cash-handling skills.
- Certification in Hospitality, Tourism, Customer Service, or a related field is an asset.
- Previous hospitality, hotel, customer service, or front office experience preferred.
- Experience using Property Management Systems (PMS) is desirable.
- Excellent customer service and interpersonal skills.
- Strong verbal and written communication skills.
- Strong organizational and time management abilities.
- Ability to handle guest concerns professionally and diplomatically.
- Ability to work independently and as part of a team.
- Proficiency in computer systems and office software applications.
- Understanding of reservations, check-in/check-out procedures, and guest account management.
- Ability to stand and walk for extended periods.
- Ability to lift, carry, push, or pull moderate loads when assisting guests.
- Ability to use stairs and elevators throughout the property.
- Ability to perform repetitive administrative and computer-based tasks.
- Ability to maintain alertness and focus during extended shifts.
Desired Qualities:
- Experience in a luxury resort environment.
- Experience using hospitality management software and reservation systems.
- Additional language skills are an asset.
- Knowledge of ownership, vacation club, or fractional ownership programs is advantageous.
