As a Facilities Executive, you will coordinate the smooth functioning and upkeep of assigned properties by working closely with maintenance teams, housekeeping staff, security personnel, gardeners, contractors, and external vendors.

You will conduct regular inspections, identify maintenance requirements, coordinate preventive and corrective work, and ensure issues are resolved promptly. The role requires strong organisation, attention to detail, vendor coordination skills, and the ability to manage multiple operational priorities effectively.

You will also support the Facilities Manager in maintaining service standards, operational records, safety compliance, and overall property readiness.

Key Responsibilities

• Coordinate day-to-day facilities maintenance and operations across assigned properties.
• Monitor common areas and ensure they remain clean, functional, safe, and well maintained.
• Coordinate with maintenance, housekeeping, security, gardening, and other support service providers.
• Schedule and monitor preventive and corrective maintenance activities.
• Liaise with contractors and vendors to ensure timely and quality completion of assigned work.
• Conduct routine inspections of properties, common areas, equipment, and facilities.
• Identify maintenance issues and coordinate prompt resolution.
• Follow up with vendors and service providers to ensure agreed standards are consistently maintained.
• Maintain accurate maintenance records, service schedules, inventories, and operational reports.
• Monitor the availability of essential supplies, equipment, and maintenance materials.
• Ensure adherence to applicable safety procedures, company processes, and operational standards.
• Escalate recurring or critical maintenance issues to the Facilities Manager.
• Assist with coordinating emergency repairs and urgent property-related requirements.
• Support the Facilities Manager in ensuring smooth and efficient property operations.

What Makes You a Great Fit

• 3+ years of experience in facilities management, property management, hospitality, residential operations, or a similar field.
• Strong experience coordinating maintenance teams, vendors, contractors, and support service providers.
• Good understanding of preventive and corrective maintenance processes.
• Strong organisational skills with the ability to manage multiple tasks and priorities.
• Excellent communication and interpersonal skills.
• Proactive approach to identifying and resolving operational and maintenance issues.
• Strong attention to detail and commitment to maintaining high property standards.
• Good problem-solving and coordination abilities.
• Basic proficiency in MS Office and digital record-keeping tools.
• Comfortable working in a hands-on, fast-paced property operations environment.
• Experience with luxury villas, hotels, gated communities, residential societies, commercial properties, or property management companies will be an advantage.
• A valid driving licence and personal transportation would be preferred.
• Flexibility to work according to operational requirements and respond to urgent property needs when required.
