About this role

Description

Strategic Calendar & Time Management

  • Architect and manage an complex, ever-changing calendar to ensure the Executive focuses on "high-leverage" activities.
  • Act as a "shield," prioritizing meeting requests and managing interruptions to protect the Executive's deep-work time.
  • Coordinate end-to-end global travel logistics, including visas, transport, and detailed itineraries.

Communication & Liaison

  • Act as a bridge for communication between the Executive and internal/external stakeholders (Department Heads, Board Members, Clients).
  • Draft, proofread, and format high-level correspondence, speeches, and internal memos.
  • Ensure the Executive is fully briefed with all necessary documents and background research ahead of every meeting.

Business Intelligence & Project Tracking

  • Prepare and analyze MIS reports and performance dashboards.
  • Attend leadership meetings to capture "Action Points" and relentlessly follow up with owners to ensure timely completion.
  • Assist in the preparation of Board Presentations and Annual General Meeting (AGM) materials.

Operational Excellence

  • Handle confidential documents including financial reports, legal contracts, and HR-related data.
  • Lead special projects or company-wide initiatives as assigned by the Executive.

3. Professional Competencies

  • Digital Proficiency: Expert-level mastery of  Microsoft 365. 
  • Information Synthesis: Ability to take a 1-hour meeting and condense it into a 5-point executive summary.
  • Logistics Mastery: Experience in managing complex international travel and large-scale corporate events.

  • Proactive Intuition: The ability to anticipate the Executive’s needs before they are voiced.
  • Grace Under Pressure: Maintaining a calm, professional demeanor during crisis situations or tight deadlines.

  • Absolute Integrity: A proven track record of maintaining strict confidentiality.

5. Experience & Qualifications

  • Education: A Bachelor’s degree is required; an MBA is preffered
  • Experience: 7+ years of experience in an EA or Chief of Staff role supporting C-Suite executives.
  • Language: Professional-level fluency in English (written and verbal).
