About this role

Amex GBT is a place where colleagues find inspiration in travel as a force for good and – through their work – can make an impact on our industry. We’re here to help our colleagues achieve success and offer an inclusive and collaborative culture where your voice is valued.

The Event Experience Coordinator builds and runs registration for a dedicated Experience Studio team built around one enterprise client, from the first invitation through the onsite registration desk and the final attendee report. The producer and the event manager lead each program and decide what the attendee experience should be. The Attendee Experience Coordinator makes it work in Cvent and keeps the attendee data right.

What You'll Do

  • Build registration in the client's Cvent instance for assigned programs, including event sites, registration paths and forms, invitations, confirmations, and reminders.
  • Manage attendee housing and travel details, including room blocks, rooming lists, arrival and departure manifests, and the changes that keep coming until the day of the program.
  • Send attendee communications on schedule, from the first invitation through final details and post event follow up, in the client's brand and voice.
  • Run attendee reporting from invitation through post event, including registration counts, pacing against targets, dietary and accessibility needs, and the reports the event manager, producer, and client stakeholders rely on.
  • Answer attendee questions through the program inbox quickly and accurately, and spot the question that points to a problem with the site or the communication.
  • Test every site, form, and email before it goes live, so errors are found by you and not by an attendee.
  • Run the onsite registration desk, including badges, check in, onsite changes, and desk staffing, with the travel that comes with it.
  • Protect attendee data by following the client's privacy and data handling rules, limiting access, and keeping records accurate enough to audit.
  • Carry registration for several programs at different stages at once, keep each timeline current in the client's project tools, and raise risks early, such as slow pacing or a room block about to release.
  • Close each program with final attendance, no shows, hotel pickup against the block, survey results, and a clean archive.

What We're Looking For

  • Two or more years in event registration or attendee management for corporate meetings and events.
  • Experience handling registration for 2,000 or more attendees a year across multiple programs.
  • Cvent certification, or equivalent hands on experience building event sites, registration paths, emails, and reports.
  • The ability to build and run registration for a full program on your own, and to say early when you need help.
  • Housing experience, including room blocks, rooming lists, and working with hotels on pickup, cutoff dates, and changes.
  • Accuracy with data: strong Excel skills, care with lists, and the habit of checking a report before it is sent.
  • Clear, warm written communication with attendees at every level, and the judgment to know when a question needs the event manager.
  • Experience running or staffing an onsite registration desk, including badge printing and onsite changes.
  • Sound handling of personal data, and comfort working inside a client owned system with its own rules.
  • Preferred: experience on a dedicated client team or inside a corporate events department; experience with onsite check in and badging tools; familiarity with enterprise project and collaboration tools.
