The Information Systems Epic Application Manager manages and coordinates the daily activities of an IS Clinical/Ancillary Analyst team responsible for the design, build, testing, validation, maintenance, and ongoing support of Epic applications.

This role requires both strong people leadership and hands-on Epic build expertise. The IS Epic Application Manager develops and maintains deep knowledge of clinical and ancillary workflows, as well as system functionality, to effectively support operational needs.

The manager serves as a translator between technical and operational teams - communicating complex concepts in a way that is meaningful to analysts, department leaders, and end users. This role leads workflow design and system build in alignment with both clinical and ancillary requirements.

The IS Epic Application Manager represents the Information Systems team and is responsible for establishing and maintaining strong working relationships with Shepherd Center staff, our Community Connect partner (Piedmont Healthcare), Epic representatives, and all users who interact with Epic applications.

  • Effectively lead and manage an Epic Clinical/Ancillary Applications team, fostering a positive and respectful work environment with clear expectations and accountability.
  • Establish regular goals and touchpoints; provide ongoing coaching, feedback, recognition, and performance management to support staff development and optimize performance.
  • Perform management and administrative responsibilities including timekeeping, staffing plans, and on-call scheduling.
  • Lead cross-functional projects in alignment with hospital policies, regulatory requirements, and standards of practice.
  • Prioritize work and manage team resources effectively; maintain accurate project tracking and provide timely status updates.
  • Facilitate regular meetings with team members and stakeholders to review deliverables, risks, issues, and upcoming milestones.
  • Partner with stakeholders to identify, develop, and evaluate training and education needs across roles (staff, providers, super users, and students).
  • Monitor system performance and proactively escalate risks or issues as appropriate.
  • Gather and analyze workflows, technical requirements, and functional specifications for Epic applications and modules.
  • Lead the design, build, validation, and maintenance of Epic configurations.
  • Troubleshoot and resolve complex technical issues across integrated systems.
  • Test, monitor, and support interfaces in collaboration with IT teams and third-party vendors.
  • Apply knowledge of HL7, Epic Bridges, and Cloverleaf to assess integration issues and impacts.
  • Maintain system tables, files, and configurations in accordance with established standards.
  • Implement approved system changes following change control processes.
  • Provide expertise during workflow design sessions, validation, integrated testing, and ongoing optimization efforts.
  • Perform application and integrated testing; document results and ensure timely resolution of issues.
  • Maintain current knowledge of clinical/ancillary operations, regulatory requirements, and industry best practices.
  • Partner with interdisciplinary teams to ensure systems support compliance and operational effectiveness.
  • Oversee Nova Notes and support Epic upgrade activities (IRDs, SUs, RAs), including build, testing, and deployment.
  • Review and prioritize system requests; assign work based on team capacity and organizational priorities.
  • Support Epic security design and maintenance as appropriate.
  • Proactively manage issue escalation, communication, and resolution.
  • Develop and maintain system documentation and knowledge base materials.
  • Collaborate with Principal Trainers to support role-based training and education programs.
  • Provide support to training efforts during peak demand periods.
  • Ensure clear and timely communication with peers and IT leadership regarding project status, risks, and resource needs.
  • Stay current with healthcare technology trends and Epic advancements.
  • Collaborate across clinical, financial, and ancillary departments to maximize the value of information systems.
  • Serve as a mentor and point of contact for super users across the organization.
  • Participate in Tier 2 on-call support rotation as needed.
  • Maintain required licensure and certifications.
  • Demonstrate strong written and verbal communication skills, with the ability to translate technical concepts for diverse audiences.

REQUIRED MINIMUM EDUCATION

Bachelor’s degree in Nursing, Allied Health, Information Technology, Computer Science, or a related field required.
Evidence of progressive leadership experience required.

REQUIRED MINIMUM CERTIFICATION

Active Epic certification in one or more clinical and/or ancillary applications (e.g., Beaker, Willow, Radiant).

REQUIRED MINIMUM EXPERIENCE

Minimum of three (3) years of progressive experience in clinical, financial, integration, analytics, or other healthcare operations.

REQUIRED MINIMUM SKILLS

  • Proven experience as an IT Systems Analyst or equivalent role
  • Experience in a hospital or rehabilitation setting preferred

PREFERRED QUALIFICATIONS

  • Prior experience managing or leading a clinical and/or ancillary applications team
  • Operational or IT experience supporting clinical or ancillary areas such as Lab, Pharmacy, or Radiology/Imaging, and/or integration/interface work
  • Experience with ServiceNow platform
  • Proficiency with Microsoft Office tools (Word, Excel, PowerPoint, Project, Visio)
