We are seeking a dynamic, highly motivated Coordinator who demonstrates our values of compassion, accountability, responsiveness, and empowerment; to our clients, families, and each other.

Reporting to the Manager, Special Care Unit- Hamilton, the Coordinator will oversee day-to-day administrative services of the Special Care Program.  Wesley’s Special Care Unit offers services to individuals experiencing Homelessness in Hamilton, supporting individuals in a transitional program on-site.  This position will work from a hybrid model- reporting to the Hamilton location.


This is a non-unionized, full-time permanent position; it requires 40 hours per week; the annual salary is $55,235.



Key Responsibilities: 



  1. Provide administrative and reception support to the Special Care Unit program.
  2. Prepare correspondence, reports, and other documents.
  3. Coordinate interviews and other HR functions including onboarding paperwork, and maintaining Bamboo.
  4. Oversee the training schedules and manage follow-up for employees with outstanding training and certification requirements.
  5. Attend program meetings and take minutes.
  6. Audit the program database to ensure compliance
  7. Maintain program and office files, schedules, and fee collections system.
  8. Maintain and update community resource binders and operations manuals as required.
  9. Assist with the organization and coordination of program activities.
  10. Coordinate the ordering of office supplies and repairs to office equipment and facilities.
  11. Assist with preparing reports and collecting data for the Program Manager and Director.

 

What you will bring:



  1. Advanced Word and Excel processing skills.
  2. Knowledge of desktop publishing and presentation software is an asset.
  3. Experience with data collection, compiling reports, and data input.
  4. Excellent communication and customer service skills.
  5. Demonstrated success in preparing written correspondence and communicating with individuals verbally.
  6. Experience with reviewing resumes, scheduling interviews, and other HR functions.
  7. Superior organizational skills and proven ability to maintain various file systems.
  8. Proven ability to work in a hybrid model with a minimum of 3 required on-site shifts.
  9. Self-motivated with strong initiative and ability to work as part of a team.
  10. Experience working in a culturally diverse environment.
  11. Experience troubleshooting IT devices such as computers, cell phones, and printers.
