About this role

Remote Raven is hiring a Bookkeeper & Family Business Operations Coordinator on behalf of our client, a U.S.-based family office that owns and operates several businesses across real estate development, construction, property management, short-term rental hospitality, and real estate sales.

This is a full-time, fully remote, long-term position for an experienced multi-entity bookkeeper who is equally comfortable coordinating property operations and supporting a busy family office. The successful candidate will own the books for several U.S. companies in QuickBooks Online, close each month on schedule, and keep the wider business organized enough that any question can be answered from the file.

You will work independently, on a United States business-hours schedule, reporting directly to the family principals.

Key Responsibilities

Bookkeeping (primary responsibility)

  • Own day-to-day bookkeeping for multiple U.S. companies in QuickBooks Online, keeping each company file separate, current, and reconciled.
  • Perform monthly bank and credit card reconciliations for every entity, and tie each one to zero.
  • Categorize transactions accurately by entity and property, and flag anything you cannot code with confidence rather than guessing.
  • Manage accounts payable: enter vendor bills, track due dates, prepare payment runs, and keep vendor records and W-9s complete.
  • Manage accounts receivable: issue invoices, apply payments, and follow up on open balances.
  • Collect, organize, and attach receipts so every transaction has support behind it.
  • Produce monthly financial reports for each business, including profit and loss, balance sheet, and budget versus actual.
  • Track cash flow across the group and give the family early warning when a period looks tight.
  • Prepare clean, tied-out records for the CPA at quarter end and year end.
  • Follow up on missing information from vendors, property contacts, and family members until the gap is closed.
  • Maintain organized financial documentation so any question can be answered from the file rather than from memory.

Airbnb and property management

  • Respond to guest messages promptly and in the property’s voice.
  • Schedule cleaners around turnovers and confirm coverage before a gap becomes a problem.
  • Coordinate maintenance requests with vendors and track them through to completion.
  • Track property expenses to the correct property and the correct entity.
  • Maintain the reservation calendar and reconcile platform payouts back to the books.
  • Monitor supply inventory and reorder before a unit runs short.
  • Build monthly property reports covering revenue, expenses, occupancy, and net owner income.
  • Coordinate vendors end to end, including quotes, scheduling, and invoice follow-up.

Executive and administrative support

  • Manage calendars and protect the family’s time.
  • Organize email and surface what actually needs a decision.
  • Research and plan travel end to end.
  • Run internet research on vendors, suppliers, properties, and service providers.
  • Prepare documents, letters, and reusable templates.
  • Build and maintain a clear Google Drive filing structure the whole family can navigate.
  • Write Standard Operating Procedures for the processes you run, so the work is repeatable.
  • Handle data entry accurately and at pace.
  • Manage scheduling across multiple businesses and competing priorities.
  • Provide general business support as the portfolio grows.
  • Minimum 3 years of hands-on QuickBooks Online experience.
  • Demonstrated experience managing the books for more than one company at the same time.
  • Excellent written and spoken English.
  • Strong Microsoft Excel and Google Sheets skills, including formulas, lookups, and summary reporting.
  • Highly organized, with your own system for tracking open items.
  • Extremely detail-oriented; you notice what others miss.
  • Strong problem-solving skills, and the judgment to know when to decide and when to ask.
  • Proven ability to work independently with limited supervision.
  • Excellent time management across competing priorities.
  • A high standard of integrity and confidentiality, working with family and business finances.
  • Reliable high-speed internet.
  • A quiet, dedicated home office.

Preferred Qualifications

  • QuickBooks Online ProAdvisor Certification.
  • Experience supporting U.S.-based businesses directly.
  • Real estate bookkeeping experience.
  • Construction bookkeeping experience, including job costing or progress billing.
  • Airbnb or short-term rental property management experience.
  • Experience with Google Workspace.
  • A track record of creating SOPs and improving business processes.

Tools & Software

  • QuickBooks Online (primary platform, multiple company files).
  • Microsoft Excel and Google Sheets.
  • Google Workspace: Drive, Gmail, Calendar, and Docs.
  • Airbnb host tools and short-term rental platforms.
  • Receipt capture and document management tools.
  • Video conferencing and messaging tools for a distributed team.
